The five stages → Records
Records and privacy
This page describes what these nine files hold, which is nothing, and what the office at 37 Thornbury Road holds, which is a folder per unit and a file per tenancy.
What this site holds
This site is nine static files served out of a directory. There is no form to fill in, no account to open, no comment field, no mailing list, no cookie of any kind, no analytics and no third-party script. Nothing a visitor does here is recorded by the office, because there is nothing here that records.
Two date tools run on the pages: the refurbishment programme builder on the opening page and the tenancy date sheet on the letting page. Both are arithmetic performed by the browser on numbers typed into the page. The dates entered are not sent anywhere, are not stored anywhere, and are gone when the tab closes.
One request leaves the page: a stylesheet for the two typefaces, fetched by the browser from Google’s font service. The office does not receive that request and gets nothing back from it. Everything else — the stylesheet, the script, the drawings — is served from the same directory as the page it appears on. The drawings are inline vector markup, not image files, so no picture is fetched at all.
The server keeps the ordinary access log that any web server keeps. The office reads it for one purpose, which is finding out that a page is broken.
What the office holds, and for how long
| File | Why it is held | Held for |
|---|---|---|
| Acquisition file: decision note, title documents, survey, lease | to answer what was known when a unit was bought | while the unit is held, and six years after it is sold |
| Works file: schedule, variations, certificates, photographs | to evidence what was done, and by whom | permanently for the certificates, six years for the rest |
| Tenancy file: agreement, inventory, readings, correspondence | to run the tenancy and to settle the deposit | the tenancy, and six years after it ends |
| Referencing records: check record and references | to evidence that the checks were made | the tenancy, and one year after it ends |
| Right-to-rent evidence | because the check itself has to be evidenced | the tenancy, and one year after it ends |
| Repair log | to show a report was answered and then closed | six years from the closing date |
| Compliance certificates | to show the unit was compliant on a given date | permanently |
Who a record is shown to
- The solicitor or accountant acting for the company, on the matter they are acting on and no other.
- A contractor attending a repair, limited to the room and the fault they are attending.
- The deposit protection scheme the deposit is held with.
- A buyer’s solicitor where a unit is sold, limited to the pack listed on selling a unit on.
- HM Revenue and Customs, and any other body entitled to ask.
Nothing is sold. Nothing is shared for marketing. No record is sent outside the United Kingdom.
Writing to the office about a record
Write to the registered office, or to the correspondence address below it, to ask what is held about you, to have it corrected, or to ask for it to be deleted where it is no longer needed for the purpose it was taken for. Say which unit or which tenancy the request concerns, because the files are kept by unit and by tenancy rather than by name. A written reply goes back to the address the request came from.
